How do you manage your guest count? This year was the first time doing the exchange and I sent out invites got responses where more than half were coming and others needed to let me know. Once I settled on the number of guest I had more people who wanted to join. How do I handle guest that want to come that decide after the invites were sent or that are friends on friends?

I tell my guests to bring a friend, but let me know so I can have enough food. I serve 5 crockpots of soup and appetizers (chips, vegetable and dip) so it's easy to be accomodating. I ask for 4 dozen cookies from each guest and we just divide them according to how many are there.

The first cookie exchange that I did, I had approximately 12 ladies and I provided all of the refreshments and realized that this was costly as well as providing gifts, mailings and so forth in order to have a great time and still had enough. I always plan for the number of invites I send out. Now what I do is send out a save the date in late August first of September. I send out e-mails as well and then in the invitation the rules are provided and I make it clear that if you bring a guest, they must adhere to the same rules as the person invited and to ensure that we have enough, each guests is to bring an appetizer for at least 12 people as, so we have more than enough. It makes it quite interesting to see the creativity that my guests put into their appetizers as well and saves on the hosts from being embarrassed by not having enough appetizers.

This will be my 6th year. The first year I invited everyone I could think of knowing that the rules and baking alone would scare some off. So the first and second year we had about 12-13 girls which was perfect for 6 dozen cookies. Each girl took home 1/2 dozen of each type of cookie. BUT the last 2 years have gotten crazy popular and year 3 we had 15 girls and years 4 & 5 we had 18 girls!!!!! I took polls, sent out evaluations after each year to see what the majority wanted to do. No one wanted to cap the number of people and oddly no one seemed to mind baking 9 dozen cookies. So that is where we will be at this year again. 15-18 girls baking 9 dozen cookies. Each lady takes home 8 dozen about 1/2 dozen of each type of cookie and we need 1 dozen for tasting and voting.
I also have a different theme every year with different categories for each prize winning cookies with some hot ticket prizes. I wanted to inspire the girls to really get into it and THEY DO!
